What happens when Microsoft support ends?

The time has come for the 2013 version of Microsoft Office, Exchange Server, Project and Visio: Microsoft will end the extended support on 11 April 2023. On this page, we provide a short overview of what this actually means, what you need to do and how used software licences from usedSoft can help you.

What does “end of support” actually mean?

After the end of support, there is neither technical support nor other bug fixes – and above all no more security updates. The software continues to run – but with risks, because Microsoft no longer closes upcoming security gaps. Companies that choose to ignore this open the door for cybercriminals. This also means they might violate their compliance obligations.

End of support – what to do?

The solution is an upgrade, i.e. switching to a newer version. For most Microsoft products, you have several options for doing this: A migration to subscription and cloud solutions, the purchase of the newest software version or one of the successor versions that will continue to be supported.

How to save money when changing versions with used software

  2. What features should the new software have?
  3. Does it really have to be the latest version?
  4. Are subscription and cloud models even an option? Or is the data too sensitive for the cloud?
  5. Which software is compatible with your existing hardware and IT? Do you need to make more changes?

Subscribe, buy, save?

With the Microsoft 365 subscription version, companies pay a monthly or annual licence fee for the rights of use. While this has the advantage that you automatically use the latest version, as a subscriber you are quite dependent on Microsoft. This is true, for example, for data security in case of cloud applications, but also for the pricing policy. From 1 April 2023, Microsoft will increase its subscription prices in the euro zone by 11%.

The alternative is purchasing versions such as Office 2021, 2019 or 2016, where the right to use is acquired for a one-off price. Important to know: Microsoft only offers the latest Office version. Previous versions are no longer available even though they are the most cost-effective alternative. They are availaible at usedSoft, though.

The one-time purchase is particularly suitable for companies that do not transfer their data to a cloud and want to be more independent of price increases and changes to the subscription model.

Local Exchange Servers: available second-hand and at a reasonable price

Implementing new server software is a complex task. The investment is a necessity and must be well thought out. Therefore, take your time and compare all the options available.

Since a new Exchange Server is a larger project, many companies initially tend to only consider the costs. At first glance, the Cloud 365 model with manageable monthly costs for a subscription is appealing. However, this simplified approach leaves too many important points out of consideration. For example, companies that use the cloud solution do not operate their own server hardware: no costs, no control. Companies thus place their data in the hands of third parties. Their data is stored on the servers of the US company Microsoft. A security and GDPR problem. In contrast, sensitive data remains in the company with the local Exchange Server 2019 and 2016.

With used licences, the upfront costs can be reduced significantly. In addition to the latest version 2019, Exchange Server 2016 is still available. Microsoft has planned the release of the next version for 2025.

  • Good indexing and search function

Don’t forget your access licences (CAL)

In order for users to access the Exchange Server, so-called Client Access Licences – CAL for short – are required. There are two options available: A Device CAL allows access for a single device – regardless of who is currently working on it. A User CAL, on the other hand, is assigned to a user who can access the Exchange Server from any device – whether a PC in the office, a laptop in the home office, a tablet and so on.
